Emcees will typically arrive about 1 hour before the event starts . This allows time for preparation, coordination, and the technical run before guests arrive.

When should I schedule the pre event meeting

You should schedule the pre event meeting no less than 2 weeks before the event. This is so that the emcee has the latest programme and the conclusions of the meeting stay as current as possible relative to the event date.

What do I need to prepare for the pre event meeting

Please prepare the latest programme for the event, the background of the event, the background of any awards or special segments, and the exact names and titles of any dignitaries or speakers the emcee needs to announce.

Can I use the venue’s in house audio system

Typically, venue in house systems can be used for announcements and background music, which is usually more than adequate for basic conferences, workshops, and weddings. Most venue systems have a compression system in place that reduces the overall dynamic range of the audio output when it exceeds a certain level. This is often set just above regular vocal range. While this helps protect the venue’s audio system, it can also reduce the impact of singers, instruments, and audio tracks played by entertainers If your event includes any form of live music, such as DJs, bands, professional entertainers, or emcees with their DJs, the venue will often advise you to engage an external AV vendor. Please also note that venues equipped with ceiling speakers are generally not ideal for DJs, live bands, or any form of high impact music, as these speakers usually do not have the necessary low frequency response and bass capability.

What do I need to check with the venue if I am engaging an emcee for a Dinner and Dance event

You will need to inform the venue that you will be having an emcee with a DJ for your event and check whether the DJ can tap into their audio system. If the venue is agreeable, do let them know that the DJ will need to connect 3 XLR cables to their audio mixer.
